Stock and Barcoding Job Instruction Sheet

Warrandyte Pottery Gallery uses barcodes to keep track of inventory data of the various artists stock and automate the checkout process in the gallery. The inputing of product data and generating and printing of the barcodes are to be preformed by the artists themselves. The square POS webbroweser is used to achieve this.

Each artist’s profile is created as an “item” (this has been done for you). You will be required to update your details including the category of your work a brief description of your work and if you intend to charge GST. You can then add your work to be sold in the gallery known as “variations”. you can then update inventory amounts and generate and print the barcodes to affix to your work. Please note each item must have a barcode to be sold in the gallery. Warrandyte Pottery takes no responsibility for incorrectly inputed data on artists barcodes.

Step 1

The square POS webpage will be open for you on a laptop.
-Find your name and click on it to open your profile ‘primary item’.
-Fill in the details required. Name, Category, brief description of you work and if you are charging GST or not
-Scroll down


Step 2

Next you will be adding individual one off items (or one item with multiples in stock)
-Click Add variation
-Fill in the item details including name of item and price and unit cost (as the same value)

-Leave GTIN number blank and SKU number is automatically generated and the unit selection is per item which should automatically be selected.

-Then click “done”

you will see all your items appear under “variations” the variations shown as “Regular” is your profile “primary item”


Step 3

Next you will be adding “stock received” (this is works and the number of units you will be stocking on site at Warrandyte Pottery Gallery)
-Click Manage stock
-A pop up will appear.
-Next to each item select “Stock Received” then the units to be stocked to be type in “New Stock”
-Enter the amount of items you are stocking for each “variation”

-Do not add stock to your “regular” “variation” that is you


Step 4

Once all “variations” (items) have been added and the the stock updated,

-Below “point of sale behaviour”
Select “Skip detail screen in Point of Sale” indicated in blue

Once its selected
Click “save”


Step 5

Next you will be creating your barcodes

-click the “Actions” drop down box

-click “Print Labels”

-next to “label Type” click the drop down box and select DYMO SDSD99012 - LW Large Labels 25mmx25mm

-Scroll down



Step 6

Under “Select Items”

-Click add items

-Type in your name (primary item)

-All of your variations will appear

-Select item

-Select items to be barcoded one at a time by repeating above steps (all items receiving into Warrandyte Pottery Gallery stock)

-Click “Create labels”

-Then Click '“Print Labels Now”
