Welcome to the Warrandyte Pottery Gallery!
We’re so glad to have you join our collective of artists! This guide is meant to provide gallery specific information to help you get off to a great start and provide you with important information.
Our mission
Warrandyte Pottery Gallery is a collaborative gallery space established in 2020 and was conceived as a destination to present emerging and mid-career artists and makers from all over Victoria. Our aim is to create a community for artists and provide support for innovative and inclusive artistic pursuits with an artist-centered approach. We hope to continue to provide exciting opportunities for artists to share their work with our local community and each other. With a strong basis in ethical practices, we work hard to establish and cultivate an environment where all artists are treated as equals and all work is promoted equally and without bias.
Important information
Gallery Insurance: Warrandyte Pottery has comprehensive insurance which covers theft, major structural damages, fire and non environmental flood. It does not cover your individual work once it has left the premises and any liabilities which may occur from the use of your work. We highly recommend each artist has their own insurance. By signing your contract, you waive the right to peruse Warrandyte Pottery for any damages which occur to patrons as a result of your art work.
Breakage policy: Warrandyte Pottery is not liable for breakage which occurs by patrons visiting the gallery. Breakage cost will be assessed on an individual basis, based on the circumstances. If a costumer breaks an item, you are encouraged to seek compensation from the costumer. Warrandyte Pottery will only cover breakage of items of which warrandyte pottery was responsible for the breakage.
WhatsApp communication: All gallery communications occur via the smartphone application WhatsApp and occasionally via email. You are required to download the application on to your phone. At the beginning of each 3 month period the WhatsApp group will be amended to include only current artists displaying in the gallery.
Roster deadlines and link: Upon signing your contract you are required to fill in 3 (1 x full day 10am -4pm or 2 x 1/2 day shifts) days across 3 months in our roster. One artist only per time slot in the gallery is required. If you cannot attend your shift due to illness or other circumstances please seek to make arrangements with another artist using the WhatsApp group as early as possible: If no arrangements can be made you will be required to pay the fee for Warrandyte Pottery to employe someone to cover your shift.
Mid Week gallery access request: mid week gallery access will need to be made in advance, by appointment. Please get in touch via email gallery@warrandytepottery.com.au or via whatsapp to request a time to have access to the gallery.
Changes to displays: Any changes to displays must be made outside of gallery opening hours and arranged in advance. If removing stock please advise and make the correct adjustments to POS listed stock quantities. Warrandyte Pottery is not liable for any missing items if removed without prior notice. Displays must not be emptied prior to official bump out day.
Our expectations: Warrandyte Pottery intends to run an equitable, fair and ethical space where all artists are promoted equally and fairly. This includes studios, workshops, and other projects artists participate in outside of the gallery. These promotions are only for individual artists who are currently displaying in the gallery and large community arts events. We expect all artists to promote each other’s work with enthusiasm and respect. This is a none competitive space, created in reverence for the arts and its long standing importance in our community and the world.
Please remember that if you are intending on returning, you will need to inform us officially via email or WhatsApp. You are not guaranteed a spot if you have already held a space but you will be given first option. WP reserves the right to ask you to leave the gallery if any unethical behaviour occurs.
Bump In Process
Bump in is offered at the beginning of each 3 month timeframe. During this time you will be expected to set up your display, barcode all your work and ensure you are familiar with all of the gallery systems and procedures. A Warrandyte Pottery Employee will be on site to assist and provide first hand demonstrations of POS system and barcoding process.
It is recommended that you arrive with a spreadsheet or document containing the following information of work being displayed in the gallery.

Bar coding and POS
All items sold in the gallery are to be barcoded at bump in and restock times. This process will be shown to you upon your first bump in and then will be up to you to complete whenever you restock items.
Stock and Displays
If items are restocked or removed from the gallery this needs to be updated on our POS system to reflect the accurate number of items in the gallery.
If you need to remove stock or replace stock ensure you are doing so outside of trading hours. Please made individual appointments at least one week in advance by emailing gallery@warrandytepottery.com.au

PAYMENTS
Stall Payments
Gallery costs:
3 month contract + 3 rostered days: $165 per month
6 month commitment + 6 rostered days: $160 per month
3 month commitment + no rostered day: $345 per month
6 month commitment + no rostered day: $340 per month

Sale Payments
At the end of each weekend you will be notified of your sales via a private message on WhatsApp. You will only be notified if you have sold items.
Transfers occur fortnightly. All funds from sales are transferred to your nominated account. Square fees are on charged to customers. No other fees are taken.
Cash sales are placed in individual envelopes and kept in the gallery. Please collect cash sales in person and ensure you sign and date the cash received form when collecting cash. Please leave the envelope in the drawer.
