Warrandyte Pottery Gallery

The Warrandyte Pottery Gallery is a collaborative gallery, established in 2020 and originally conceived as a space to showcase emerging and mid-career Artists and Makers. Our carefully curated space is highly regarded and has quickly gained a loyal following. Consisting of a main show room with individual stalls and a small exhibition space. Our aim is to create a community for artists that support innovative and inclusive artistic pursuits with an artists centered approach. Our spaces have been created to support and foster local artists.

Exhibition Terms and Conditions

Congratulations, we can confirm availability for your upcoming exhibition at Warrandyte Pottery Gallery

By signing this document you have committed to exhibiting at Warrandyte Pottery Gallery on the specified dates. The exhibitor will be required to pay a 30% deposit of the total exhibition cost within 7 days of signing this agreement to secure the exhibition. Please note that this deposit is non-refundable.

Following the submission of a 30% deposit to secure the exhibition dates, the remaining balance of the exhibition fee will be due no less than 14 days prior to the exhibition date.

In the instance of exhibition cancellation, the exhibitor will be required to give notice of cancellation no less than 30 days prior to the starting date of the exhibition. See cancellation clause for further details.

1. SECURING YOUR EXHIBITION

a. To secure your exhibition you will be required to pay a 30% deposit within 7 days of signing this agreement. Alternatively, you may pay the full gallery fee upfront. Making either payment will secure your exhibition.

Gallery Fees:
Exhibition Fee: $175 (+GST) per week, with a minimum period of two weeks.

b. Upon returning your completed agreement, you will receive an invoice for the requisite deposit amount. This 30% deposit is due within 7 days of signing this agreement and is non-refundable. By paying this deposit, you are confirming your commitment to the exhibition, and that you have read, understood, and agreed with the terms outlined in this document.
c. Any remaining balance must be finalised 14 days before your exhibition.
d. Opening Night Costs: The artist is responsible for covering the costs associated with the opening night, either personally or by third party.

2. EXHIBITION CANCELATION AND RESCHEDULING
a. In the event that the exhibitor cannot fulfil the exhibition requirements and wishes to cancel the exhibition, they must provide the gallery with no less than 30 days notice prior to the agreed exhibition date. As previously stated, the 30% exhibition deposit is non-refundable.
b. In the instance of late cancellation, wherein the exhibitor cancels their confirmed exhibition within the 30 day period leading up to the agreed exhibition dates, no refund will be given. In this instance Exhibitors will be subsequently liable to pay and/or forfeit 100% of their exhibition fee.
c. Once the exhibition dates have been accepted and exhibition agreement signed, the opportunity for the exhibitor to reschedule will be at the discretion and availability of the gallery. Any rescheduling will be subject to the terms of cancellation outlined above.
d. Warrandyte Pottery Gallery reserves the right to reschedule any exhibition at their discretion, following appropriate consultation with the exhibitor.

3. SALE OF ARTWORK –– GST (Goods and Services Tax) and Gallery commission
a. Warrandyte Pottery Gallery takes a 10% commission on all exhibition sales
b. Pricing of the artwork will be mutually agreed upon by the Artist and Warrandyte Pottery Gallery, taking GST and the gallery’s 10% commission into consideration.
c. All payments made by card incur a 1.6% square processing fee and will be taken out of the final sale amount.
d. All artwork sales are to be conducted by WPG for the duration of the agreed exhibition–no alternative arrangements may be made by the exhibitor regarding price or independent sales, including but not limited to personal online sales such as website, social media sales.
e. GST is a mandatory government tax applied to the sale of all goods and services, including the sale of artwork. If you are registered for GST please indicate in the below agreement form.

4. CONTACT AND PAYMENT DETAILS
a. Settlements for any sales during the agreed exhibition period will be sent to the exhibitor no later than 30 days after the exhibition deinstall dates (listed below). Payment will be transferred via online bank transfer to the exhibitor’s preferred bank account, nominated by the exhibitor (see form below)
b. As per Warrandyte Pottery Gallery’s commission, each artist payment will have 10% commission deducted from the wall price/RRP of each sold work. WPG pays GST on their commission portion (as per section 3 of the agreement). Please nominate your preferred bank account to forward payment in the from below.

5. SELECTION OF ARTWORK –– selection for display and installation
a. WPG focuses on carefully curated exhibitions and reserves the right to determine the final selection of artwork to be exhibited.
b. All artworks submitted for exhibition must be original and created by the participating artist. The gallery reserves the right to reject any work deemed unsuitable for display.

6. ARTWORK DELIVERY & EXHIBITION INSTALLATION –– Delivery of Artwork, installation day and attached fixings
a. Artwork must be delivered to the gallery on the agreed upon date/time. Our installation technicians will be available to coordinate the gallery’s installation.
b. Exhibitors must deliver their work to the gallery install-ready for display and sale––this includes all frames and stretchers being appropriately strapped with picture wire and d-rings, ready to install. Any work prepared with inappropriate materials (such as string, 3M hooks, fishing line, cotton or wool) will not be accepted.
c. WPG requests that all work on paper be appropriately framed. However, we would request that alternative (unframed) methods be discussed with the gallery prior to artwork delivery.
d. If the exhibitor has any special requirements for the installation of their work, please inform us no less than 2 weeks ahead of the install date. Should you require any advice regarding the appropriate installation of your artwork, you may contact gallery@warrandytepottery.com.au for assistance.

7. ARTWORK DE-INSTALLATION –– Collection and storage of artwork
a. The gallery will be available for artwork collection from 10am-12pm on the Tuesday after the final day of your exhibition. These times are strict and are expected to be adhered to, in order to facilitate a smooth transition for the space.
b. If you are unable to collect in person, you must arrange alternative collection arrangements for your artwork, such as an arts mover service to collect artwork on your behalf. Please contact us prior to let us know of any collection arrangements if you are unable to attend.
c. WPG is not responsible for the packaging of returned work, or work being collected at exhibition’s end. If you require work to be packaged for its return please contact us so we can let you know of additional arrangements that can be made.
d. Due to limited onsite storage, we cannot store works beyond the above de-installation date, unless otherwise arranged prior to exhibition closure. In the absence of any prior arrangement between WPG and the exhibitor, a storage fee of $50.00 per month will be applied. Payment of accrued storage fees will be expected prior the return or collection of the artwork.
e. Following a period of 6 months from the collection date listed above, any uncollected artwork becomes the property of WPG and will be disposed of at their discretion.

8. PLINTHS, VITRINES & SHELVING
a. WPG has a limited number of plinths of varying sizes and dimensions, available for exhibitor use. Any plinth requirements must be submitted no less than 30 days prior to exhibition dates. Please contact us to discuss display options
b. Any plinths supplied by the artist must be approved by WPG prior to installation dates.

9. ARTWORK INFORMATION –– Promotional materials, exhibition catalogue & Wall List
a. Approximately 6-4 weeks before your exhibition you will be required to provide your ‘hero image’ and exhibition statement (50 words), in order to create marketing assets and for potential print media. Please note that print media cannot be changed once printed, so ensure you are happy with the details provided and that they are correct. Print Media deadlines are separate to the gallery and inclusion if these due dates are not met cannot be guaranteed.
b. This ‘hero image’ will also be used for all print and online advertising.
c. In order to prepare Exhibition Catalogues, at least 14 days prior to your exhibition, a wall list detailing artworks to be exhibited must be provided, including high-res images of each artwork against a neutral/white background.
d. Information provided after this 14 day window will result in a delay in your online product preparation. This includes exhibition pre-sales.
e. WPG reserves the right to edit this text (in terms of grammar, structure and clarity only).
f. A wall list, detailing all work to be exhibited, must be provided by the Exhibitor in the following format:
Title of Work, year, medium, dimensions HxW (rounded up to the nearest cm), wall price––see example below

2. Blue Mountains, 2024, stoneware ceramic and gold lustre, 359x123cm, $2000
** Please send the artwork list in a separate word document with each title in a new line and numbered.

g. Artists must supply images of each individual artwork for online product listing. Artworks must be photographed on a white background, and submitted as high-resolution JPEGs. Artwork images must be supplied in a Google Drive, Dropbox or Wetransfer link.

10. ARTIST STATEMENT AND BIO
a. At least 14 days prior to your exhibition commencement, the exhibitor must provide WPG with an up to date artist statement––approximately 200 words––to be wall-mounted in your exhibition. This must be written in third person perspective, focusing on a few key aspects/themes in your work and practice. This may include a brief biography (e.g. qualifications, etc.). You can include additional first person quotes if desired.
b. WPG reserves the right to edit this statement and/or biography.
c. WPG will be responsible for the printing and mounting of wall labels.

11. PERSONAL EXHIBITION PROMOTION
a. WPG will use the above provided information to format digital and print flyers.
b. We recommend you assist in the promotion of your upcoming exhibition by distributing provided hard-copy gallery invites and inviting friends/family/industry contacts in person or with the exhibition’s supplied digital marketing assets.
c. Throughout your exhibition and during the lead up, we may use artwork images provided––and take new ones––for marketing and promotion. Please advise if you do not give permission for this to occur.
d. Please provide instagram details below for promotional purposes

12. INSURANCE
a. WPG will take every precaution to ensure your work is displayed safely and effectively, however we cannot accept responsibility for any damage to the work that may occur while in our possession. We advise that the Artist purchase insurance for their work if they have any concerns.
